A voice agent answers the call and writes the note itself.

After hours, a call used to land in voicemail, and someone had to replay it and type the note. A voice agent now runs the call and files that note on its own.

The work

What we built, and why

The problem

The firm publishes one phone number. From Monday through Friday, 8am to 5pm Eastern, a person can call back the same day. In the evening and on weekends the call used to land in voicemail.

Someone then had to replay the recording and type who called, which company they were with, and what they wanted. That write-up was the slow part, and it depended on a person being free to do it.

What we built

The line is completely automated. An AI voice agent answers, and it is the only one on the call. It tells the caller it is automated, and that the team can review the call afterward. No person picks up.

The agent asks for the caller's name, company, role, the reason for the call, and the best phone number or email for a callback. It repeats the company name and waits until the caller agrees it heard the name correctly. When the caller is finished, the agent files the message and ends the call. A person does not save the message, and a person does not hang up the phone.

From the message the agent filed, the rest runs on its own. The written note is emailed. The recording is fetched and stored. The transcript of what was said is kept. No one types the note, and no one moves the recording.

The note has the name, the company, the reason, and the callback the caller gave, and it labels that callback as unverified. The call list stays behind sign-in. A person reads what the agent saved, then calls back. That reading is the first human step.

Outside office hours the same agent still answers, and it says a person replies on the next business day. A call that hears only the greeting, with no message saved, is not emailed. The agent does not open a support ticket or fix a computer.

The result

What changed

The voice agent runs the call, files the note, and sends the email with no person in those steps. Someone follows up from the written note, with the recording beside it. A greeting with no saved message is not emailed.
